These Terms of Service govern business use of Hotel Flow Central PMS and related website, demo, support, and account services provided by Hotel Flow Central LLC. By signing an order form, accepting an online subscription, accessing an authorized account, or using the services on behalf of a business, the customer agrees to these terms. The person accepting must have authority to bind the customer.
The services are intended for business hospitality operations, not consumer personal use. Customer administrators are responsible for authorized users, account configuration, permission levels, password practices, user removal, and data entered into the system. Customers must keep reservation, rate, tax, guest, folio, and property information accurate.
Subscription plans, fees, room limits, add-ons, onboarding fees, renewal terms, taxes, billing authorization, cancellation rights, price changes, support levels, and service commitments are described in the applicable order form, invoice, online plan page, or enterprise agreement. If an enterprise agreement conflicts with these online terms, the enterprise agreement controls for that customer.
Hotel Flow Central may provide integrations, channel connectivity, AI features, beta features, APIs, or third-party services. Third-party services are governed by their own terms. Hotel Flow Central is not responsible for third-party outages, provider decisions, data submitted directly to third parties, or external integration changes outside its control.
AI features are assistive only. AI output may be incomplete, outdated, inaccurate, or unsuitable for a specific guest or legal context. Customers must review AI-generated messages, summaries, recommendations, reports, and suggested actions before relying on them. AI must not be used as the final decision-maker for legal, financial, employment, safety, eligibility, or similarly significant decisions.
Customers may not misuse the services, attempt unauthorized access, interfere with service operations, upload unlawful content, store card numbers in notes or free-text fields, submit passport/government ID data unless a supported workflow is enabled, reverse engineer where prohibited by law, or use the services in violation of sanctions, export, privacy, or anti-discrimination laws.
Each party retains its own intellectual property. Hotel Flow Central owns the software, product designs, documentation, workflows, and related technology. Customers retain their customer content and property/guest data. Feedback may be used by Hotel Flow Central to improve products without creating compensation obligations.
The services are provided with commercially reasonable care. To the maximum extent permitted by law, Hotel Flow Central disclaims warranties not expressly stated in an applicable order form or written agreement and limits liability according to the applicable customer agreement. Disputes, governing law, venue, notice rules, export controls, force majeure, assignment, severability, and entire-agreement terms are handled under the applicable order form or written agreement.
